Woodvale Community Facility respects your privacy. This notice explains how information submitted through our event request form is handled.

Information you provide

We collect your name, email address, phone number, preferred dates, event type, space preference, estimated guest count, and any details you choose to include in your message.

Why we use it

We use these details to review your request, contact you about availability and event options, and communicate with you about an event you wish to arrange. Sending this form does not sign you up for promotional emails.

Who handles it

The form is configured to receive submissions through Netlify Forms. Information may be handled by our event staff and by service providers needed to operate the form and related communications. Depending on provider infrastructure, information may be processed outside your province or country.

Storage and security

We aim to restrict access to authorised people and apply appropriate safeguards. We retain request information only as long as reasonably needed to handle your request, any resulting event arrangements, and applicable legal obligations, in line with Alberta’s Personal Information Protection Act (PIPA). No online system can guarantee absolute security.

For questions, or to request access to, correction of, or deletion of information you submitted, contact events@woodvalefacility.ca. Requests are handled subject to applicable law and retention requirements.

Event requests

Submitting this form is a request, not a confirmed reservation or a binding event agreement. A date or event space is not reserved merely because a form has been sent.

Confirmation and event arrangements

Availability, room rental, menus, bar service, deposits, minimum spend, gratuity, cancellation provisions and any other booking conditions will be discussed separately. Your event is confirmed only when Woodvale Facility confirms it in writing and the $1,000 non-refundable deposit is received.
